The challenge

Winc Australia was running several robotic process automation bots on UI Path to handle repetitive business processes in SAP ECC. The automations worked, but the licence and maintenance costs were significant, and the business had an opportunity to consolidate automation onto SAP Business Technology Platform.

The challenge was to deliver equivalent or better process efficiency without increasing risk in the core ERP environment. Any new automation needed to be cost-effective, supportable and non-invasive, avoiding ABAP changes, transport dependencies or disruption to Winc’s SAP deployment lifecycle.

What we did

Beta Digital worked with Winc and SAP Australia to reimagine, build and run three unattended bots on SAP Build Process Automation. We first established the BTP Cloud Foundry foundation, including subaccount structure, entitlement allocation, security configuration, service provisioning and operating procedures.

For each automation process, we ran design workshops to map the end-to-end workflow in detail: screen interactions, decisions, exception paths, validations, retries and recovery procedures. Each bot was then built, documented and tested against representative scenarios in non-production SAP ECC environments.

A key design choice was to interact through the SAP ECC user interface layer. This made the bots non-invasive to the core ERP system, allowing build, test and production promotion to occur outside the standard SAP transport path. We also configured monitoring and trained Winc’s internal team so they could operate and extend the automations independently.

What it delivered

The programme delivered more than $70k in annual licence and maintenance savings, with each bot moving from design workshop to production go-live in around 15 days. Across the scope, the automations represented a total saving of approximately 3 FTE of manual effort.

Winc gained a lower-cost automation model aligned to its SAP platform strategy, while avoiding unnecessary change in SAP ECC. The engagement also gave Winc a governed BTP automation foundation that could be reused for future process automation opportunities.
